Message Template: What to Bring to Buy a Car

A Marketplace appointment dies when the buyer arrives without ID, insurance, or down-payment funds. Use these message templates for what to bring to buy a car, timed so they help instead of feeling like a hard close.

The appointment is on the board for 4:30. The buyer found the truck on Marketplace, confirmed the price in chat, and said they were ready. They arrive with a passenger, a child seat, and a debit card that will not cover the down payment their lender requires. Nobody sent a bring list. The desk spends forty minutes collecting documents that should have been in a pocket. The buyer feels ambushed. The truck is still there at close.

A message template for what to bring to buy a car is not a formality. It is how you stop wasted trips, stalled credit apps, and Saturday blow-ups at the cashier. Send it too early, while the buyer is still asking if the car exists, and it reads like a hard close. Send it too late, in the parking lot, and it reads like you hid the requirements. The useful version is a short, role-specific list delivered after the visit is real and confirmed the night before.

This guide is for floor reps, internet directors, and F&I managers. It covers when to send the list, cash versus financed versus trade-in versions, what never belongs in a Marketplace thread, and a confirmation pass that actually gets used. It is operational guidance, not legal advice. Confirm identification, financing, and funding rules with counsel, your lenders, and state regulators.

When to Send What to Bring to Buy a Car (and When to Wait)

Timing is the difference between a helpful checklist and a conversation killer. The first reply to "is this still available?" is not the moment.

Three beats, not one dump

  1. Availability and appointment. Answer the car question, offer times, get a name and a window. See the same discipline you use when responding to is this still available messages.
  2. Visit confirmed. Once they accept a time, send the bring list that matches how they said they want to pay.
  3. Night-before ping. Resend the same list in one short message. Do not add new requirements at 9 p.m. unless something on your side changed.

If you skip beat two, first-time buyers show up empty-handed. If you skip beat three, even prepared buyers forget the insurance card.

Signals the visit is real enough to send the list

Send the template when at least two of these are true:

  • A calendar time exists, not "sometime Saturday."
  • The buyer named who is coming.
  • They stated cash, financing, or a trade, even roughly.
  • They asked a logistics question (hours, address, test-drive route).

Do not wait for a deposit unless your store requires one. Many Marketplace buyers will visit without a hold. They still need the list.

Message Templates: What to Bring to Buy a Car for Cash, Finance, or Trade

One generic paragraph produces the wrong pile of paper. Keep three short templates and pick the one that matches the chat. You can combine them if the buyer is financing and trading.

Cash or debit purchase

Keep this tight. You are not collecting a credit file.

Thanks for booking 4:30 Friday for the 2018 Silverado. Please bring:

  • A government-issued photo ID for the person whose name will be on the title
  • Proof of insurance if you plan to drive it off today
  • The payment method we already discussed (cashier's check, bank funds, or the card/cash process our cashier uses)
  • Any co-buyer who must sign

If anything on that list is a problem, tell me now so we do not waste the trip. Address and entrance notes are below.

Name the unit. Vague "bring ID and money" messages get ignored.

Financed purchase

This is where stores over-collect in chat. Ask for what the appointment actually needs, not the entire credit jacket.

You are set for Tuesday at 5:00 for the 2021 CR-V. For a credit application visit, please bring:

  • Photo ID
  • Proof of income your lender accepts (recent pay stubs or the alternative we listed)
  • Proof of residence if your lender requires it
  • Insurance information for the vehicle if you intend to take it the same day
  • Down-payment funds in the form we already named
  • A co-signer only if you already know you will use one

We will not ask you to photograph Social Security cards in this chat. We will complete the application through our normal process at the store.

If they asked what to bring for credit specifically, point them to the fuller what buyers should bring for a credit application visit process your desk already uses. The Marketplace template should stay short.

Trade-in plus purchase

Add only the trade items. Do not bury them at the bottom of a finance novel.

Please also bring for the trade:

  • The vehicle, with plates you are allowed to move
  • Title if you have it, or the loan account information if there is a lien
  • Extra key and any service records you want considered
  • Lienholder payoff details if you have a recent statement

We will appraise it on site. Do not assume a chat range is the final number.

First-time and nervous buyers

Selling budget vehicles to first-time buyers often means the shopper does not know that insurance is required to leave the lot. Add one plain sentence: "If you want to drive it home the same day, your insurance needs to cover this vehicle before we hand over keys." Do not recommend a carrier. Do not estimate a premium.

What Not to Ask For in a Marketplace Chat

A bring list can become a compliance and trust problem if reps treat Messenger as a document portal.

Leave these out of the thread

  • Social Security numbers, photos of Social Security cards, or full account numbers
  • Requests to "send a selfie with your ID"
  • Open-ended "bring everything you have"
  • A demand for a deposit inside the same message as the bring list, unless a hold was already agreed
  • New fees that did not appear in the listing or earlier chat

If your process needs identity verification, do it through the channel counsel and your lenders already approved. Marketplace is a poor vault.

Do not surprise them with a longer list on arrival

The desk cannot add "and a utility bill, and a second reference, and a printout of your bank app" after the buyer sat in traffic. If the lender package changed, message before they leave home. If a rep invented extra items, the manager should kill those extras, not scold the buyer.

Confirming the List the Night Before

The template only works if someone sends it twice: at booking, and again when it is still useful.

Night-before message

Reminder for tomorrow at 4:30, 2018 Silverado. Bring photo ID, insurance if you are driving it off, and the payment we discussed. If you are trading, bring the title or loan info. Reply 1 if you are still coming. If you need to move the time, say so tonight.

Ask for a one-character confirmation. Long recap paragraphs do not get replies.

Who sends it

The rep who owns the thread sends it. Managers should not assume the desk will text. Associates who booked the visit can send the template if it is stored and they are not allowed to edit it. Improvised night-before messages are how new requirements sneak in.

If they reply with a problem

Treat a problem as a save, not a nuisance:

  • No insurance yet: keep the appointment for a look and a test drive, and say they cannot take the car home until coverage is bound.
  • No co-buyer: ask whether the absent person must be on the title. Reschedule if yes.
  • Funds not ready: offer a later slot rather than a doomed same-day close.
  • Trade has a lien they just remembered: collect the account info now so payoff work can start.

That is the point of the template. It surfaces blockers while the buyer is still on the couch.

A Store-Standard Bring List Your Reps Cannot Rewrite

If five reps send five lists, buyers compare notes and your reviews will mention "they kept asking for more papers." Lock the language.

Build one page, three variants

  • Cash
  • Finance
  • Trade add-on

Store it where the team already works: a shared note, a CRM snippet, or a printed card at the tower. The Marketplace paste should match the paper the greeter hands them in the driveway. If those two disagree, the driveway version is the one that creates the fight.

Review it when lenders or cashiers change rules

When your bank stops taking a certain check type, update the template the same day. When temp-tag rules change, update the insurance and plate lines together. A stale bring list is worse than none, because it tells the buyer they did everything right.

Checklist before you hit send

  • Unit year, make, model, and appointment time are in the first line
  • Payment path matches the chat
  • No Social Security request
  • No new fee
  • Address and who to ask for are included
  • Trade and co-buyer lines appear only if relevant

How PostToMarket Automates This

The bring list fails when the wrong rep owns the appointment, the listing is already stale, or the chat lives only on a personal phone. PostToMarket does not collect buyer documents and does not replace your cashier or lender package. It keeps the vehicle, the queue owner, and the lead in one workflow so the template goes out from the person who actually booked the visit.

The list should follow a real, available unit

  • Unlimited inventory with statuses of draft, posting, posted, sold, and failed, so you do not send a bring list for a truck that sold an hour ago.
  • Mark as sold and archive from inventory or the queue as soon as the deal is done.
  • AI-generated titles and descriptions, editable before posting, so the unit in the reminder message matches the unit the buyer already read.

One owner sends the template

  • Per-rep posting queues and a team queue view so a manager can see who owns the thread and release a stuck claim before 4:30.
  • Managers assign vehicles to associate queues; sales reps self-queue from shared inventory. The person who posted should be the person who sends the night-before ping.
  • Roles of admin, manager, sales rep, and sales associate keep posting-only staff from inventing extra documents.

Catch the lead before the appointment goes quiet

  • Leads inbox so managers can see which conversations booked a visit and whether the bring list was the last message.
  • Mobile dashboard on a phone's home screen, so a rep between customers can send the night-before reminder instead of waiting until they are back at a desktop.
  • Team analytics by rep and source, useful when you are trying to see which posters produce kept appointments versus no-shows.

PostToMarket is independent and is not affiliated with, endorsed by, or sponsored by Meta. No tool can guarantee that Facebook will distribute a listing or that a buyer will arrive prepared. It reduces the operational mistakes that leave the desk collecting papers in a panic.

Send the List Before They Leave the House

A clean message template for what to bring to buy a car is one of the cheapest closing tools you have. Time it after the appointment is real, match it to cash, finance, or trade, keep sensitive numbers out of Messenger, and send the same list again the night before. The desk will feel the difference the first Saturday you use it.

PostToMarket keeps the inventory and the appointment owner aligned so that reminder is about a car you still have. Starter is $59 per month for a solo seller with one login. Dealership is $299 per month for up to 13 logins, enough for managers who want to see whether the bring list actually went out.
