A Weekly Inventory Import Routine for Small Lots
A weekly inventory import routine for small lots: one owner, one dated file, sold-unit cleanup, new arrivals, and a Friday review that keeps Marketplace in sync with the actual front row.
Monday's spreadsheet is honest. Thursday's is a rumor. On a small lot, units arrive from auction, a sedan sells at lunch, a truck comes back from recon, and nobody updates the file until someone needs to "post everything this weekend." That weekend dump is not a strategy. A weekly inventory import routine for small lots is a scheduled, owned, boring refresh that keeps inventory, queues, and sold cars aligned with the ground — without turning Friday night into a bulk-posting binge.
This is written for independent lots and small franchise used departments where one person still touches every VIN. You do not need a data team. You need a day, a file-naming rule, and a rule that import is not the same as post. PostToMarket holds unlimited vehicles in inventory on every plan and accepts bulk CSV and Excel import with history and a row-level error log. The routine below is how a 20- to 80-unit operation should use those tools every week.
Pacing of actual Marketplace submits is a separate conservative operating standard. Importing the lot on Wednesday does not mean posting the lot on Wednesday. PostToMarket is an independent tool, not affiliated with, endorsed by, or sponsored by Meta.
Why Small Lots Need a Weekly Inventory Import Routine
Large groups may drip feeds all day. Small lots live on batches: a Tuesday auction run, a Thursday trade, a Saturday sale. If import only happens when someone is angry about aged units, the file is always late and always dirty.
What weekly actually means
Pick a primary import day and a same-week exception path:
- Primary day: one full retail file (or a full-file-plus-repair process you already trust).
- Exception path: new arrivals mid-week via a small file or via capture from auction and wholesale sites, left in draft until photographed.
- Daily: mark sold and archive. Do not wait for the weekly import to remove a sold car from public view.
The weekly event is reconciliation. Daily sold hygiene is still daily. Mark sold and archive is the same-day companion; this article will not replace it.
Who owns the hour
Write a name. On Starter, it is you. On Dealership, it is an admin or manager, not a rotating sales associate. Associates work queues. They should not be the person who decides whether last week's VIN is still in the export.
If the owner is off, the routine pauses or a named backup runs the same checklist. A "whoever is free" import is how two people upload overlapping files.
The Weekly Inventory Import Routine, Step by Step
Consider a lot with 35 units, six of them new since last week's file, four sold, two in recon. The routine should take one focused hour, not an afternoon, once the checklist is familiar.
Before you export
- Walk or lot-check sold, hold, and recon. Your eyes beat the DMS if the DMS is slow to flag a deal.
- Photograph arrivals that will be allowed to post this week. No photo, no queue. They can still import as drafts.
- Decide this week's posting ceiling as a conservative operating standard, independent of how many rows are in the file.
Build the weekly file
Use the same layout every week. If you work in Excel, keep a values-only UPLOAD tab. If you work in CSV, export then run A Pre-Import Checklist for Your Vehicle CSV File.
Minimum fields: VIN, year, make, model, trim, mileage, price, stock, status. Strip cost, pack, and customer PII.
Name it with the ISO date: retail-2026-10-30.xlsx. Last week's file stays on disk. You will need it when a price dispute appears on Thursday.
Import as a recorded event
Upload once. Open import history. Read the row-level error log. Fix in the file, not in the queue. If you must re-upload, use a repair-only file when possible.
Do not treat a successful import as permission to select-all into the queue. Inventory can hold the whole lot. The queue holds what will post under this week's cap.
Status pass after import
| Unit type | Weekly action |
|---|---|
| Sold since last file | Mark sold and archive if not already |
| New retail, photographed, priced | Draft → review copy/photos → queue within cap |
| New retail, no photos | Draft only |
| Recon / body shop | Draft; do not queue |
| Still live, no changes | Leave posted; do not relist to refresh |
| Failed import rows | Repair file; do not type a second copy by hand |
Capture can fill gaps for auction buys that never hit the spreadsheet. Confirm the unit is on the lot before it leaves draft. Do not import the same VIN from the weekly file after capturing it.
Copy and photos are part of the week, not a later mood
AI-generated titles and descriptions will draft from this week's specs. Mileage and price changes deserve a fresh edit pass. Choose lead photos in the Facebook photo picker for units that will actually post. A weekly import that never includes a photo decision produces listings that look like last month's folder order.
Posting is spread, not burst
After import, queue a subset and let the Chrome extension post one vehicle at a time with human-like delays and server-enforced daily limits. If the file contained twenty new rows, you still do not post twenty in an hour. A conservative operating standard is to spread new posts across the week. Burst-posting after a weekly import is one of the operational patterns that commonly causes distribution problems.
A Sample Week for a Small Lot
Vary this to your auction day. Keep the bones.
Illustrative calendar
- Monday: sold/hold walk. Queue leftover ready units from last week. No full import unless Monday is your auction day.
- Tuesday: auction/capture new buys into inventory as drafts.
- Wednesday (primary import day): full retail file, history, error log, status pass, edit copy on units slated to post, queue a conservative batch.
- Thursday: exception file or single adds for a surprise trade. Photograph recon that came back.
- Friday: review import history for the week. Confirm one record per VIN. Reorder queues. Do not "catch up" the whole remainder.
- Saturday: customers first. Mobile dashboard to reorder if a deal changes the front line.
- Sunday: optional photo block for Monday's drafts. No binge posting.
Metrics that matter (no fake benchmarks)
You are not chasing a posted-count trophy. Each week, write down:
- Rows in the file vs. units actually on the lot
- Error-log count and whether it fell
- Sold units archived the same day vs. found at weekly import
- Units left in draft because they were not ready (this is healthy)
Team analytics by rep and source help on Dealership when more than one person posts. On a one-login lot, the notes above are enough. Do not invent conversion rates. Look at whether inventory matches the ground.
Failure modes of weekly import
- Using import as a refresh button. Relisting identical units to "bump" them is a duplicate-style behavior. Update the record; do not create a second live listing.
- Skipping sold hygiene because "the file will catch it." Buyers message sold cars on Tuesday. The file runs on Wednesday.
- Two weekly files from two people. Pick one owner.
- Importing cost columns. They will not help you sell and they can leak into copy if someone pastes the wrong field.
- Treating draft as shame. Draft is how small lots stay honest.
How PostToMarket Automates This
A weekly inventory import routine for small lots fails when the spreadsheet, the lot, and Marketplace diverge for six days and then collide on Saturday. The product pieces below are the ones that make a once-a-week file safe.
- Bulk CSV and Excel import on a dated file.
- Import history and a row-level error log as the Wednesday quality gate.
- Unlimited inventory so the whole lot can live in the dashboard while only ready units post.
- Statuses (draft, posting, posted, sold, failed) for the post-import pass.
- Capture from auction and wholesale sites for mid-week buys that should not wait for the next full file — still verified before queue.
- AI titles and descriptions, editable, regenerated from this week's specs.
- Facebook photo picker for the units that will go live.
- Personal queue, plus manager assignment and team queue view if you are on Dealership.
- Chrome extension posting one at a time with delays and server-enforced daily limits, so the weekly file cannot become a burst.
- Mark as sold and archive every day, not only on import day.
- Mobile dashboard to reorder the queue when Saturday changes the plan.

Make Next Wednesday the First Real Import Week
Small lots do not need a daily feed. They need a weekly inventory import routine that is owned, dated, and separated from posting volume. Run one clean Wednesday, then keep the calendar.
Starter is $59 per month for the solo seller with one login who will be that owner. Dealership is $299 per month for up to 13 logins when a manager should own Import and reps should only receive assigned units. Take the 10-day free trial and fit two weekly cycles inside it if your trial calendar allows — or one full cycle plus a repair re-upload.
