Offboarding a Departing Rep: A Clean Queue Handoff Checklist
A clean queue handoff checklist for offboarding a departing rep: release claims, fix statuses, sign them out of the extension, and reassign work the same day.
The sales rep gave two weeks. On Friday at 4:50 p.m. they turned in a desk key and left. Monday morning, nineteen vehicles are still claimed in their personal posting queue. Three of those are sold. Two failed last week and nobody knows why. The Chrome extension on the shared desk computer is still signed in as them. A new associate starts posting from that session because "the cars are already in there." That is not a handoff. That is how a departure creates duplicate listings and a week of invisible inventory.
Offboarding a departing rep is a same-day operations job, not an HR afterthought. This checklist covers the queue, inventory statuses, extension sign-in, and who picks up the work. It stays inside what PostToMarket actually does. For the mechanics of identity, signing into the extension with email is the companion. For stuck claims in ordinary weeks, use the team queue view to release and reassign.
Offboarding a Departing Rep Starts Before Their Last Day
If you know someone is leaving, do not wait for the farewell lunch.
Two days out
- Print or export a simple list of everything in their queue (stock number, VIN, status).
- Sit with them and mark each row: post today, hand off, already sold, do not post (recon, wholesale, hold).
- Confirm they are signing in as themselves, not through a shared password. If they have been using the admin login, treat that as an incident: change the admin password after they leave.
Last working day, morning
Let them finish a short, honest queue. Do not let them "clear the list" in a burst before they walk out. Server-enforced daily limits and human-like delays still apply. A departure is not a reason to dump twenty listings in an hour.
Last working day, afternoon
Run the checklist below before they leave the building. Access should end the same day they stop being a poster, even if payroll runs later.
The Clean Queue Handoff Checklist
Work top to bottom. Do not skip sold units because they "won't matter." They will keep collecting messages.
1. Inventory truth
For every unit they touched recently:
- Sold or pending: mark as sold and archive from inventory or the queue.
- Still available, still in their queue: decide the next owner now.
- Failed: read the unit, fix data if you can, then requeue to someone living, not to a ghost login.
- Posting: wait until it settles to posted or failed. Do not start a second post from another person on the same VIN.
Statuses are draft, posting, posted, sold, failed. The handoff is done when none of those still silently belong to a person who does not work there.
2. Release every remaining claim
Use the team queue view. Release what they will not finish. Unreleased claims are invisible work. Other reps will assume those cars are "handled."
3. Reassign with a role, not a pile
- Associate: manager assigns a finishable batch.
- Sales rep: they self-queue from what you returned to shared inventory. Do not forward a nineteen-unit dump onto one peer as a favor.
- Manager: take aged or problem units yourself if they need a policy call (price, title story, photos).
4. Extension and devices
- Sign out of the Chrome extension on every shared desk computer.
- Sign out of the mobile dashboard on any store phone they used.
- They sign in with email, not API keys — disable or remove their user so the email no longer works.
- Do not leave their session open "so we can finish their queue." Finish the queue as living people with living logins.
5. Facebook surfaces
If they posted from a personal Facebook profile, that profile is not yours to keep using. Store policy should already cover this. Do not log into their Facebook. Move ongoing Marketplace work to the accounts the store actually controls, and do not duplicate live listings in the process. PostToMarket is not affiliated with, endorsed by, or sponsored by Meta. This is operational hygiene, not a guarantee about account standing.
6. Leads and conversations
Managers should check the leads inbox for unanswered threads on units that were "theirs." Assign a living owner for replies. A departing rep's last gift to the store should not be a silent Messenger thread.
7. Analytics honesty
Do not compare next week's rep analytics to a week that includes a ghost. Note the departure so you do not coach the wrong person for a drop in posted count.
Handoff Patterns That Fail (and the Fix)
"We'll just keep using their login until the queue is empty"
That extends the departure for days and trains the floor to share credentials. Empty the queue by releasing and reassigning. Then remove the user.
"The new hire can inherit the whole list"
A new associate should not inherit a veteran dump. Give them a short assigned queue of clean units. Put messy units with a manager or an experienced rep.
"It's only three cars"
Three sold cars still live on Marketplace are enough to generate reports. Mark sold is not optional at offboarding. The mark sold and archive workflow is the same process you should already run every day; departure is when you discover you were not.
"HR will handle access next week"
HR does not know which VIN is claimed. A manager does. Access and queue are an operations checklist. Put it on the used-car manager or internet director, not on a personnel file.
A One-Page Manager Script
Use this when you are in a hurry:
- Pull their queue.
- Sold → mark sold and archive.
- Available → release claim.
- Reassign today in small batches.
- Sign out extension and mobile.
- Remove their login.
- Change any password they knew (especially admin, if they should never have had it).
- Scan leads inbox for stranded threads.
- Tell the floor which units moved, so nobody posts a twin.
If they left without notice, run the same list the hour you know. Speed matters more than a perfect conversation.
How PostToMarket Automates This
Offboarding falls apart when work is tied to a person who no longer exists and nobody can see their claims. The product's job is to make claims visible and identities separate.
- Per-rep queues so you can see exactly what they still own.
- Team queue view to release any claim and get units moving.
- Manager assignment to associate queues for the work a junior should finish.
- Inventory statuses plus mark as sold and archive.
- Email sign-in to the extension so you disable a person, not a shared secret.
- Leads inbox for managers to catch unanswered inquiries.
- Analytics by rep so you can interpret the week after they leave without treating a ghost as a performance dip.
No tool can finish the human conversation. The checklist is what keeps inventory from leaving with them.
Hand Off the Queue Before You Hand Out the Cake
A departure that leaves nineteen claimed VINs is an inventory event. Treat it like one. Run the clean queue handoff checklist the same day, not when buyers start asking why a sold car is still up.
PostToMarket is built so each poster has a login, a queue, and a manager who can release what they drop. Unlimited vehicles stay on the lot's account, not in a former employee's session. Starter is $59 per month if you really are one person. Dealership is $299 per month for up to 13 logins when the floor has to survive someone quitting.
