A Monthly Audit for Stale and Overlapping Marketplace Listings

Once a month, reconcile live Marketplace ads to the lot. A monthly audit for stale and overlapping listings: sold-still-live, duplicate VINs, pending ghosts, and who owns the fix.

A Monthly Audit for Stale and Overlapping Marketplace Listings

The internet director searches the store's own Marketplace presence from a logged-out phone and counts 14 vehicle ads. The lot has 11 retail units that are actually for sale. One of the extras sold Tuesday. One is a pending deal that unwound but never came back as a clean listing. Two ads are the same Silverado at two prices. That is not a marketing mix. That is a hygiene failure, and it compounds every week you skip a count.

A monthly audit for stale and overlapping Marketplace Listings is the cheapest meeting you can add to a used-car calendar. It is not a creative review. It is a reconciliation: live ads versus units you will sell this week. Meta will not send you a tidy exception report. Your buyers will, in the form of "is this still available?" on cars that are gone, and reports on duplicates. This article is the procedure.

Treat the audit as a close, like a parts inventory. Same day each month, same owner, same pack. If it only happens when something blows up, you do not have an audit.

What "Stale" and "Overlapping" Mean on a Dealer Account

Define the words so the meeting cannot dissolve into taste.

Stale

A listing that should not be selling the unit in its current state:

  • Vehicle is sold, delivered, or wholesale-out, and the ad is still live.
  • Vehicle is pending with a signed deal and the ad still reads as available.
  • Price, mileage, or photos no longer match the lot (long-stocked units are the usual mileage miss).
  • Listing has sat through a recon completion and still shows auction dirt.

Stale is about truth. Age on the lot is a different problem (merchandising). A 70-day unit with current photos and current price is aged, not stale.

Overlapping

Two or more live ads that represent the same VIN, or two ads that a buyer cannot tell apart:

  • Duplicate VIN, two stock numbers.
  • Original listing plus a "refresh" clone.
  • Twin units posted with the same album.
  • Personal profile and Page both advertising the same unit without a store rule that says that is allowed — and even then, it is usually a mistake.

Overlaps are how you look like a duplicate seller. See finding duplicate VIN rows for the file-level cause.

The Monthly Audit Pack (Ninety Minutes, Not a Workshop)

Pick a quiet morning. One manager, one associate with a laptop, one phone that is not logged into the posting accounts.

Step 1: Export reality from inventory

From your posting system, pull every unit in posted or posting status. Include VIN, stock, price, mileage, owner/queue, and last status change. This is the system of record you will trust more than memory. If your "system of record" is a group text, that is the first finding.

Step 2: Count live Marketplace ads from outside

From the logged-out phone, search your dealership name, then year/make/model for a sample of units. You will not perfectly scrape Marketplace. You are looking for extras and missing cars, not a scientific census. Note any ad that does not match a posted-status VIN.

Step 3: Tag every exception

Use a short tag list. Do not write novels.

TagMeaningDefault action
SOLD-LIVESold or gone, ad still upMark sold, archive, take down
PENDING-LIVEIn a deal jacket, still shoppableFollow pending language; do not leave it as available
DUP-VINSame VIN, two adsKeep the true one, kill the clone
STALE-DATAPrice/miles/photos wrongEdit in place per safe live edits
MISSINGOn the lot, not live, should beQueue under the daily ceiling, do not dump
WRONG-CARPhotos or copy are a different unitTake down, reshoot, relist later

Step 4: Assign owners and dates

Every tag gets a name and a due date inside the week. Unowned tags will still be there next month. Associates fix data and takedowns. Managers decide which of two overlapping ads survives.

Step 5: Write three numbers on the used-car board

  1. Live ads that should not exist (SOLD-LIVE + DUP-VIN).
  2. Live ads that are wrong (STALE-DATA + WRONG-CAR).
  3. Units that should be live and are not (MISSING).

Those three numbers are the audit. Photos of pretty listings are not the audit.

A Deeper Pass on Overlaps

Overlaps hide in stock numbers. Force a VIN sort.

VIN sort in the posted export

If two rows share a VIN, you have an overlap even if titles differ. Walk the lot for that VIN. Keep the row that matches the windshield sticker and the website. Archive the other. Do not keep both "for reach."

Refresh clones

If the team has been deleting and reposting to "bump" ads, you will find near-duplicates with different post dates. The conservative fix is to keep the accurate current listing, remove the extra, and stop using delete-and-repost as merchandising. That habit also fights your posting ceiling.

Profile plus Page

If two identities are posting the same VIN, pick one commercial surface for that unit going forward. Shared identity chaos is how accounts get restricted. One vehicle, one live Marketplace object, unless counsel and your marketing policy explicitly say otherwise — and even then, the operational default is one.

Stale Data: The Quiet Fail

Sold-still-live is dramatic. Stale mileage on a 90-day courtesy car is quiet and still dishonest. During the audit, sample long-stocked units and compare dash to listing. If they disagree, edit the live listing; do not clone a new one. Price that disagrees with the window sticker is the same class of fail.

Checklist for the long-stock sample

  • Mileage field vs odometer photo vs dash today.
  • Price vs website vs DMS.
  • Lead photo still looks like the car (season, wheels, damage).
  • Description does not promise tires you have since replaced — or still promises tires you have since worn out.

Five long-stock units, once a month, will tell you whether the floor is maintaining ads or only launching them.

How the Audit Changes Daily Work

An audit that does not change the week is theater.

  • If SOLD-LIVE is the top tag, the mark-sold habit is broken. Fix who is allowed to close a deal without closing the ad. Same-day archive is the standard.
  • If DUP-VIN repeats, the import file is dirty. Put the duplicate VIN gate in front of import.
  • If MISSING is large, photo capacity or the ceiling is the constraint. Do not "catch up" in a burst; extend the calendar.
  • If STALE-DATA clusters on one rep, that is coaching, not a platform problem.

Review last month's three numbers at the start of this month's meeting. If they did not move, the owners were fake.

How PostToMarket Automates This

A monthly audit for stale and overlapping Marketplace listings dies when posted, sold, and queued live in three spreadsheets. The product job is to make the pack exportable.

  • Inventory statuses (draft, posting, posted, sold, failed) are the posted list you reconcile against the lot.
  • Mark as sold and archive from inventory or the queue is the SOLD-LIVE fix, done the day of the deal, so the monthly meeting is a spot-check, not a massacre.
  • Import history and row-level errors explain DUP-VIN that started in the file.
  • Team queue view shows who still claims a unit that is overlapping.
  • Team analytics by rep and source show whether one poster is creating the clones.
  • Leads inbox is where SOLD-LIVE first shows up as confused messages — use it as a symptom, not as the audit itself.
  • Unlimited inventory means the aged list and the live list can live in one system.

PostToMarket is not affiliated with Meta. The audit will not make Facebook distribute listings. It will stop you from advertising cars you cannot sell and clones you should not have posted.

Run a Monthly Audit for Stale and Overlapping Marketplace Listings

A monthly audit for stale and overlapping Marketplace listings is a close: VIN-level, tagged, owned. Fourteen ads and eleven cars is a finding. It is also preventable if sold, pending, and duplicates are handled during the week instead of at month-end.

If you have not counted live ads against the lot this month, start with the three numbers, not with a redesign of your titles.

PostToMarket is the system of record for inventory, queues, and sold status so the audit takes an hour. Starter is $59 per month for a principal who posts alone. Dealership is $299 per month for up to 13 logins when a manager has to assign the exception list. Start your 10-day free trial with secure Stripe checkout. Cancel anytime.
