From Auction Run List to Posted Listing: A Same-Day Capture Routine

The run list is still open on the buyer's phone when the last lane ends. Six VINs, a stack of condition-report screenshots, announcements you will forget by dinner, and a transporter pickup in the morning. Most stores let that pile sit until the cars hit the lot. Then somebody retypes the specs, notices the trim is wrong, and the units lose two days of exposure they already paid for on the buy.

A same-day capture routine is the opposite sequence: the run list becomes inventory the afternoon you buy, the records get a human check, finishable units get queued, and a conservative slice gets posted before you leave. The cars do not have to be on your asphalt for the draft to exist. They do have to be described honestly, including that they are incoming if that is the truth.

This article is for buyers, used-car managers and independent lots that retail auction purchases. It is a same-day operating pattern, not a promise that every buy will be live by close. PostToMarket is independent and is not affiliated with, endorsed by or sponsored by Meta. No tool can guarantee Facebook will distribute a listing. Check current Marketplace rules yourself, and treat disclosures as operational practice, not legal advice; confirm with counsel or your state regulator.

Why a Same-Day Capture Routine Beats Waiting for the Truck

Days-to-turn starts at the buy, not at unload. Online exposure that starts after recon is optional delay.

What the waiting version costs you

  • Specs get retyped and the VIN or trim slips.
  • Announcements (frame, structural, warning lights, salvage history) live in a photo roll nobody copies into the listing.
  • Photos from the auction page get used as if they were your lot photos, or they get skipped entirely.
  • The posting day after arrival is already full of other work, so the new units go to the bottom of a large queue.

Same-day capture does not skip recon. It creates a verified inventory record and, when the listing can be honest, a paced post. If you cannot show the car yet, keep it in draft with the facts already in place. Draft today is still faster than a blank record on Thursday.

Same-day does not mean same-hour dump

Six new buys are not six posts in ten minutes. Server-enforced daily limits and delays still apply. The routine is capture and verify now, post a slice now, queue the rest across the next days. Bursting the whole run list because you are excited about the buys is how you spend a day's ceiling on thin listings.

Step 1: Capture From the Run List Without Retyping

The capture step exists so the buyer is not a data-entry clerk. Bring the vehicle into inventory from the auction or wholesale page instead of rebuilding the row by hand.

Capture rules for the afternoon of the buy

  • Capture every VIN you actually bought, not the ones you bid on and lost.
  • Keep the buyer's notes attached in whatever field you use for internal comments: announcements, run-and-drive, keys, title status as you understand it from the sale.
  • Do not clean up the record yet. Capture first, verify second. Mixing those steps is how people "fix" a trim while the VIN is still wrong.
  • If several people buy, one person still owns the capture pass. Two people capturing the same VIN is how you get duplicate drafts.

For the general capture workflow, see Capturing Vehicles From Auction and Wholesale Sites Into Your Inventory and Capturing Vehicles From Third-Party Sites With PostToMarket. This routine is the same-day clock around that capability.

What capture is not allowed to invent

If the auction page does not show a fact, leave it blank. Do not guess mileage, options, or a clean title. Blanks are fixable. Confident fiction in a public listing is not. This is operational guidance, not legal advice.

Step 2: Verify Before Anything Leaves Draft

Same-day speed is worthless if the posted listing is the wrong truck. Verification is the gate.

Verification checklist (every VIN)

  • VIN characters match the sale document or the page you captured.
  • Year, make, model, trim match a decode you trust, or match the sale description after a hard look.
  • Mileage is the sale mileage, labeled as such if the car will move before you photograph the dash.
  • Price in inventory is the retail number you will advertise, not the hammer price.
  • Announcements are in the description plan: what you will disclose, in plain language.
  • Photo plan: auction photos as temporary only if they are clearly this VIN and you will replace them on arrival, or hold the post until you have your own shots.
  • Status: draft until the row is clean.

If a row fails this list, it stays draft. It does not consume today's posting limit. Wholesale and flip operations that skip this step spend the next week correcting Messenger arguments. A posting playbook for those lots is in A Marketplace Posting Playbook for Wholesale and Flip Lots; the capture routine is how that playbook starts on buy day.

Title status and condition language

If the sale involved a branded or rebuilt title, or as-is auction language you will honor at retail, the listing has to match what you will put on the buyers guide and the deal jacket. Do not let a captured "clean" default stand because it was faster. Confirm with your paperwork process. Again: not legal advice; confirm required disclosures with counsel or regulators.

Step 3: Queue a Slice, Post at a Human Pace

After verification, you have a set of finishable records and a set of holds. Only finishable records go to a posting queue.

Decide the same-day slice

BucketSame-day action
Verified, honest photos or an honest incoming note, retail price setQueue and post a conservative slice
Verified but waiting on your own photosDraft or queue for arrival day
Unverified, missing VIN confidence, or title questionsStay in draft, owner assigned
Already sold or flipped before you listedDo not post

Assign associates a small batch of the finishable units. Sales reps can self-queue from that verified set. Nobody should queue the entire run list into one name.

Posting the slice

Use the Chrome extension, one vehicle at a time, with human-like delays. Edit the AI title and description so they are about this unit: announcements, equipment, incoming timing if the car is not on the lot yet. Pick the best available photo as the lead. Do not paste the auction lane comments in all caps.

If the daily limit is already used by earlier retail posts, the rest of the run list waits until tomorrow. That is spreading a large queue across days, not a failure of same-day capture. Capture succeeded when the records exist. Posting succeeds when it is paced.

Arrival day follow-through

When the truck shows up:

  1. Walk the units against the captured records.
  2. Replace auction photos with lot photos.
  3. Update mileage if it changed.
  4. Mark sold anything that already moved.
  5. Queue anything that was waiting on photos.

Same-day capture without arrival follow-through is how you leave someone else's lane photos on a car that now has a lot dent.

From Auction Run List to Posted Listing: A Clock You Can Run

Consider a lot that bought eight units before 2 p.m. Here is a clock that fits a normal afternoon, not a fantasy staffing model.

Illustrative afternoon

  • 2:00–2:40 Buyer or clerk captures all eight VINs.
  • 2:40–3:30 Used-car manager verifies, sets retail prices, splits finishable vs hold.
  • 3:30–3:40 Finishable units go to a specific queue. Holds stay draft with an owner.
  • 3:40–close One poster runs a conservative slice with edits and delays. Remaining finishable units are ordered for tomorrow.

If you only have the buyer, collapse capture and verify into one careful pass and post fewer units. Same-day means "not next week." It does not mean "the whole list, live, by 4."

Roles that keep the clock honest

  • Buyer: capture and announcement notes.
  • Manager: verify, price, assign.
  • Rep or associate: edit, photos, paced post, mark sold if a unit already has a deal.

Shared logins will wreck this. Each person signs into the extension with email on their own login.

How PostToMarket Automates This

The gap between an auction run list and a posted listing is usually retyping, lost notes and a posting day that never quite happens. A same-day capture routine needs a way to pull the vehicle in, keep it in draft until it is true, assign it, and post it one at a time. That is the workflow this product is for.

Capture to queue

  • Capture vehicles from auction and wholesale sites into inventory without rebuilding the row.
  • Inventory statuses (draft, posting, posted, sold, failed) so unverified buys never look posted.
  • Bulk CSV and Excel import with a row-level error log when the run list arrives as a file instead of a page.
  • Unlimited vehicles in inventory so the day's buys do not have to displace other records.

Verify to post

  • AI-generated titles and descriptions from the vehicle's specs, edited before posting so announcements are in the copy.
  • Facebook photo picker for the lead image you are willing to stand behind.
  • Per-rep queues and manager assignment for the same-day slice.
  • Chrome extension posting with human-like delays and server-enforced daily limits.
  • Mark as sold and archive when a buy never makes it to retail.

The product does not buy the car, walk the lane, or guarantee that a listing will be seen. It removes the retype-and-forget stretch that burns the first days you already own.

Start the Record While the Run List Is Still Open

If tonight's buys will wait until unload to become inventory, you are donating turn time. Run the 10-day free trial through one auction day and take a run list to a posted listing with a same-day capture routine: capture in the afternoon, verify before close, post a small paced slice, queue the rest.

Starter is $59 per month for a solo seller or independent lot with one login, which is enough if you are the buyer and the poster. Dealership is $299 per month for up to 13 logins, which is how a buyer, a manager and a poster can run this clock without sharing a password.

Start your 10-day free trial and complete secure Stripe checkout. Cancel anytime. Capture the next VIN before the run list closes, then post only what you have actually verified.
